Point of Difference e.V.
1. Purpose
This Cancellation Policy explains the conditions under which registrations, services, events, programs, or engagements with Point of Difference may be cancelled, and how such cancellations are handled.
The policy ensures fairness, transparency, and responsible use of resources in support of our mission.
2. Scope
This policy applies to:
- Events, workshops, training sessions, and programs
- Service engagements or project participation
- Memberships, partnerships, and volunteer assignments (where applicable)
Donations are addressed separately (see Section 7).
3. Cancellation by Participants or Partners
Participants or partners wishing to cancel their participation must notify Point of Difference in writing (e.g. email or official form).
3.1 Timeframes
Unless otherwise stated in a specific agreement or event description:
- More than 14 days before the start date: Cancellation is accepted without penalty
- 7–14 days before the start date: Partial refunds may be granted at the discretion of Point of Difference
- Less than 7 days before the start date or non-attendance: No refund will normally be provided
Refund eligibility may vary depending on committed costs and funding restrictions.
4. Cancellation by Point of Difference
Point of Difference reserves the right to cancel or reschedule activities due to:
- Safety or security concerns
- Insufficient participation
- Funding or logistical constraints
- Force majeure events (e.g. natural disasters, public health emergencies, governmental restrictions)
In such cases:
- Participants will be informed as early as possible
- Fees paid may be refunded or credited, depending on circumstances and funding rules
- Point of Difference is not responsible for additional costs incurred by participants (e.g. travel, accommodation)
5. Services and Project Engagements
For service-based or project-related engagements:
- Cancellation terms will be defined in the relevant agreement or memorandum of understanding
- Notice periods may apply
- Costs already incurred by Point of Difference may not be refundable
6. Volunteer Engagements
Volunteers are requested to give reasonable notice if they are unable to fulfill a commitment.
While no financial penalties apply, late cancellations may affect future volunteer opportunities.
7. Donations
Donations made to Point of Difference are generally non-refundable, as funds are allocated directly to mission-related activities.
Refunds may be considered only in exceptional cases, such as:
- Administrative error
- Duplicate transactions
Requests must be submitted promptly in writing and are reviewed on a case-by-case basis.
8. Exceptional Circumstances
Point of Difference recognizes that exceptional situations can arise.
Requests for special consideration will be reviewed fairly, compassionately, and in line with donor and regulatory requirements.
9. Policy Updates
Point of Difference reserves the right to amend this Cancellation Policy at any time.
